Board Meeting Minutes – February 2013

by flanders — Categories: minutesLeave a comment

Meeting Minutes

BBoPP Executive Council

29 January 2013

The meeting was held at Pipes Peak in Monument from 6:00PM – 8:00PM
Attending were:

Ned Brush (Flanders) John Haven (Safe) Rich Mock (Dino)
Stephen Shelton (Ator) John Landreman (Landy) John Garbett (Johhny Brew)
Michele Gandy (Hardly Brew) Mike McGuckian(Lefty)

A discussion was started by Ned in reference to roles for Stephen and that all tasks are not necessarily IT. For example, the need to develop an architecture for files, where to post them, the formation of club e-mails (president, VP, Comp Coord), etc, are not solely the responsibility of IT.

(We need to break tasks into achievable pieces and solicit member to volunteer)

discussion was started in reference to the Pikes Peak Library District establishing/expanding a section for home brewers.  Rich Mock has action to pursue.

A discussion was started in reference to charities and that we would rather donate time vs money. Additional points: we still have $700 for the Nick foundation and $500 for other charities. We need to gather nominations and select a charity for 2013.

A discussion was started in reference to member liability. The consensus of the committee was that all members of the BBoPP must sign a liability waiver each year as part of the renewal process. We currently have approximately 110 members and 43 have not signed the liability waiver.

Only 21 members have renewed via Pay Pal. The price is $21 an individuals and $27 for a family.

Michelle and Lefty are going to pick-up the PAFB entries from the various drop-off locations. Michelle will do Arvada, Boulder and Ft Collins; Lefty will do Aurora, Monument and Colorado Springs. The board voted a $50 allowance to each for gas and food.

A discussion was started in reference to Blast-outs by Ned. The committee agreed that they should be of either a single topic or similar items. Blasts should be for PAFB entry reminders, PAFB Judges needed, etc.

A review of PAFB 2012 was initiated:

  1. A big issue that surfaced was the confusion at the visitor’s center. It was recommended that we post a sign denoting this is the pick-up/drop-off location, time a vehicle is expected to stop there and a POC phone number to call (remember cells coverage is poor).
  2. Designated Drivers – The Club and BBoPP (Need a lead here)
  3. Carpool coordination for the BBoPP (Need a lead here – maybe just Match-up)
  4. Billeting – awaiting for Curtis to provide the answer – (I’ll ask Axe to follow-up)
  5. Maps to The Club (John to get and provide to Stephen who will post on the website)
  6. Pints to those who put in the effort
  7. What do we do with the 1,000 or so empty bottles? Give them to club members who work the event and then to anyone who wants bottles? Make case of bottles a raffle prize?
  8. Sorting plan to “finalized” by John and Gary Garman on 31 Jan. Need to shoot for Monday 4 Feb and NLT  6 Feb
  9. Need to remind Curtis that beers need to be refrigerated as soon as he receives them
  10. Need a volunteer to fill the firkin – any 5 gallons will do
  11. Johnny G has many dots – we need to get them and use them as identifiers of payments not received. The dot comes off and your entry makes the competition
  12. A discussion was started in reference to giving Geoff a $50 incentive to update his software and add features we need for PAFB
  13.  A discussion was started in reference to going back to all BBoPP entries are free – or stick to the honor system and brewers include cash or check with their entries after the 3 free entries. A decision must be made today and an e-mail blast announcing any change be sent to only BBoPP
  14. Curtis has approximately 60 medals – we need to make the categories fall under his number
  15. A discussion was started in reference to any entry scoring below 30 does not qualify for a medal.  The competition coordinator will make that call (after discussions with axe and Johhny)
  16. A list of expectations needs to be given to Curtis:
    1. Beer and Pizza at the sorting
    2. Donuts / bagels the morning of the 9th
    3. Swag for judges and stewards
    4. $$ to BBoPP for each entry
    5. DD s and vans for judging and the fest
    6. What else??

A discussion was started in reference to renewing Meet-up. Although not ideal, it is adequate and the motion to renew was approved.

A discussion was started in reference to purchasing a projector and screen. A motion was passed approving the purchase of the items researched and recommended by Ned.

A discussion was started in reference to charities and it was confirmed that the $700 for Nick and the $500 received from the ACBF are separate and need to be dispersed separately.

A discussion was started in reference to supporting the possible Octoberfest sponsored by Quest at the stadium on Barnes. A motion was approved to open discussion and Rich Mock has the lead.

A discussion was started in reference to moving forward to obtain 501 C3 status.  A motion was approved to ask Sidney to proceed even though initial expense to file federally is $400.

A discussion was started in reference to the need for back-ups to key positions and that attendance at these meetings is expected and required. For example PAFB competition is within 2 weeks and Justin, Greg and Steve couldn’t make the meeting (weather may have been an issue) ;their support is needed.

A discussion was started in reference to the completion at Rock Bottom:

  1. There are 19 styles listed
  2. 10 BBoPP members have entries
  3. There is a meeting scheduled for Tuesday – the consensus was move it until after PAFB judging
  4. How are the BBoPP going to judge this event?
  5. Judging should be after the 22th – there are only 28 entries – less than 10 judges are needed
  6. Ned to get with Rock Bottom and explain / discuss

The Brew Hut completion is 10 Feb and is impacting our judge pool. We may have more conflicts next year and need to work to de-conflict early

The 24th Annual Reggale and DredHop Homebrew Competition is 23 Feb – Registration is open until they reach 420 entries and will be accepted till 10:00 am Feb. 15, 2013

A discussion was started in reference to the Colorado Brewers Guild. The committee consensus is that our relationship with Bristol has weakened a bit and that we need to rejuvenate it – so yes, we want to do an event with them. (We need a lead here)

A discussion was started in reference to the 3rd week of March being Colorado Brewers Guild Craft Beer week.  More info/research needed here.

A discussion was started in reference to hosting the Annual Brew Day in May. The committee consensus was to support the event. (We need a lead here)

A discussion was started in reference to holding our March meeting at 56th Ring and making it a Chili pot luck event (with many diverse types).  We discussed if it should also be a chili completion and the committee consensus was for no competition.

The next BBoPP general membership meeting is scheduled for 5 Feb at Pikes Peak. Support our sponsors, buy their beer and food.

A discussion was started in reference to having a “Hang-out” meeting on Saturday 9 March. All would bring food and beer and a fun time would be had by all. The event would also be open to family members – kids too. (We need a lead here)

John Landreman showed the new “pints” glass to be awarded to those with 4 or more points (he will address the few who have more than 4 points at a later time). He is ordering 36 glasses to cover current needs.

A discussion was started in reference to expanding our website. Ned mentioned that the Maltose Falcons web site is a great example http://www.maltosefalcons.com/ and Johnny mentioned that they are the oldest home brewing club. The committee consensus was that we are arelatively new club and are making many good improvements, but we need more support from our members. We need to break our goals into bit size pieces that individuals can accomplish as their contribution to the club.

Board Meeting Minutes 6 Nov 2012

by flanders — Categories: meetings, minutesLeave a comment

Brew Brothers of Pikes Peak

Officers’ Meeting

January 2, 2013
Location: Phantom Canyon
Start time: 6:00 pm

Members in attendance : Landy, Greg Mizell, Jose Balderrama, Eric Johnson, Lefty, Ator, Michele, Rob Patterson, Greg Aubuchon, Safe, Dino, Cryptid, Michael

  • Finances: Discussion was had at length regarding the club obtaining 501c3 or 501c7 status due to current income. It was decided that more information needed to be obtained regarding what counted as income before a final decision was made.
  • Treasurer Report: The information on the bank account needs to be changed to have the access updated for the new board members/positions.
  • Competitions:
    • Peterson:
      • Currently have 2 people signed up as judges.
      • There are about 70 beers registered.
      • Fliers were sent to all Colorado homebrew clubs.
      • Need to have people work on requesting donations for the event.
      • The BBoPP website needs to be updated for the competition.
      • Judging will be held on February 8 and 9
      • The fest will be on February 22
      • Discussion was had regarding limiting the amount of free entries for BBoPP members. Currently the registration software does not do that. It was decided that club members will be limited to 3 free entries and then will have to pay after that.
    • The question was raised regarding doing the competition in Calhan again.  It was also discussed that there are several places that have asked the club to assist with hosting a competition.
      • A packet of information needs to be developed to hand out to places that want help hosting a competition.
  • Membership:
    • Discussion was had regarding annual dues for members. The question was raised as to whether the current amount should be modified. The question also came up regarding new member dues (currently $20/yr or $10/6 mos). It was decided that dues for new members would be based on a quarterly fee schedule: $20 if first quarter, $15 if second, $10 if third and $5 if fourth quarter. Existing member renewal fees would remain $20. Also, existing members would have 90 days each year to get their annual dues paid.
    • PayPal should be set up by the end of next week. Once set up, members will be able to pay their dues through Meetup via PayPal.
    • It was discussed that there needs to be a way to track member attendance at meetings so we have a better understanding of member activity. Ideas for tracking this are going to be explored.
  • Board update:
    • With the expansion and breakout of several board positions, email addresses are being created for the position rather than utilize the current members’ personal email. The email address will allow smoother transition when positions change and better management of information. Each board position will have an email address for their position that can be set to forward to their personal email.
  • Pints update:
    • Glasses have been ordered. They will not arrive in time for the January general member meeting, so the first round of Pints Rewards will be handed out in the February meeting. 79 Of 105 members signed-up on Meet-up

The BBoPP officers met at the Space Foundation’s Area 51 lounge.  Attendance: Flanders, Dino, Johnny, Cryptid, Safe, Lefty, Landy, Hardly, Ator and Klutes.  Thanks to Ator and Kelly for hosting and the intersting tour after.

1.  Elections.  Will be held at the next meeting.  Flanders will solicit interest.  Landy is interested in taking treasurer duties from Johnny.  Lefty will take over education on his own.  Safe is interested in taking VP/Sec duties from Dino.  Flanders has some guys interested in joining the IT team.  Klutes will take on membership and Brian Paradisi will assist Hardly on the social scene.  Per our bylaws, a voice vote is required to affirm non-competed positions. We will need to modify the by-laws, since we want to have additional roles, or turn a position into a committee

2.  Raffle.  The big ticket auction hasn’t showed value so we need to reconsider for 2013.  We will buy a $25 gift certificate to Pikes Peak to augment the member’s donations and run a unified raffle.  We will also sell tickets to the Bru-Bus raffle at the next meeting.

3.  Firkin Queue.  Need to re-energize.

4.  Bru-Bus.  Still have 20 tix to sell.  Open to all at $50.  May cancel if we don’t get better participation.

BBoPP Board Meeting Minutes 3 Oct 2012

by flanders — Categories: meetings, minutesLeave a comment

Brew Bros of Pikes Peak

Board Meeting

Texas T-Bone Oct 3, 2012

Feedback from Sep meeting (All) — We all like mullet style — business up front, party in the back.

MeetUp is working well.  Approximately 40 of  90 members are using it. We will force use through the brew bus and bulk buys.  Oct will be the last e-mail for meetings announcements, all future will be on MeetUp.

Meeting location update.  Next Wed’s GM meeting will be at T-Bone.  Flanders & Dino will work out a yearly schedule that is geographically balanced.  Ideas for locations are always welcome. We’d like a minimum of 4 locations to rotate among.

Raffle feedback. We didn’t make as much at the last meeting but attendance was down.  We’ll try the $5 format again with two $25 gift certs for T-Bone next week. Safe and G2 will assist with the sale and tabulation of $5 raffle tickets. We need to do a separate tabulation to determine if this can be a self-supporting effort.

Firkin Queue.  It’s impractical to bring our firkin restaurants and clubs.  Lefty will develop a plan of action for those who brew in the firkin to host a club event.  Flanders will start an e-mail discussion on this.

Beer Bus. Hardly will send details to Flanders.  Johnny needs to buy wristbands and bubblewrap.  Need to solicit a keg coordinator else Brian will do.  $25 minimum on raffle donations.  $5 raffle tix.  Bus tix with names available at next week’s meeting.  Michelle will set-up at the Oct meeting about 5PM. Tickets will go on sale about 5:30. The meeting will start at 6PM and ticket sales will be on hold until after the meeting. Hard copy of bus schedule events will be provided to each member of the bus trip. Expect the trip to have approximately $500 to be used on raffle and charity donation

Need a history letter of the bus trip made by…
Need volunteers for jocky boxes on the bus
Laura and Brian are Michelle’s back-up

PayPal Account.   Brewzer (Francie) will get us a PayPal account.

ACBF.  Nov 3 at the Freedom Financial conference place on North Nevada.  We need twelve judges and stewards.  Safe has judge lead; G2 will work stewards.  Need to solicit at next week’s meeting.

9.  Pints.  All agree this is a good concept to get members involved but requires a little more thought. Landy will pitch at the next meeting.  Flanders will start an e-mail chain on this subject. The key is to have a reward program where pints are redeemed for desirable items such as t-shirts, snifter glass, etc and the initial reward should begin at 2 or 3.  The concept/end result needs to be added to our website

10.  Budget update. Flanders & Dino will develop a draft for planning purposes.

11.  Corporate Status.  Sub-group (Flanders, Landy, Johnny, Sid) will be formed to work this out.

12.  Bulk Buys.  Lefty is working this thru MeetUp.  He has  several bags ordered but needs more to get price breaks.

13.  CO Beer Hall of Fame.  Not discussed.  ACBF is considering.  Dino would like to get BBoPP involved in the nomination and selection process.  (Johnny will be our first nomination.)

13.  Treasurer’s Report.  Sep $1393 + $134 raffles and dues – $50 sec state registration – $45 raffle & name tag supplies – $90 Hatch Cover tip and gift cert.  $1342 balance.

13.  Bowling shirts. Johnny will check into price increase for less than 25 shirts.  There was little support for the club buying an additional 10 shirts.

14.  Christmas Party.  Hardly and BrianBew (needs a better name) will look into using 56 Ring for a beer pairing dinner with Santa Safe.  We’d like to keep rental costs below $200 by bringing our own stuff.

15.  Cryptid’s Comp input: O’Dell brew day Fri 25 Jan limited to 10 BBs.  Cryptid to provide details next week. Axe won the club only competition with his cream ale and it was sent along for national competition.

16.  PeteFest will be Fri 22 Feb with judging 8-9 Feb leaving a week in between.  Firkin Fest is 16 Feb.

17. The board approved continuing to support Geoff and his competition software $20/25 and be hosted on his server vs trying to host on a BB server.

18. Election nominees find or groom your replacement. Safe nominated to replace Dino.

19. John L and BJCP preparation: No need to hold a one month course for the website exam – the BJCP study guide tells you what to study. Preparation for the May 13 tasting examination will start soon, additional support needed; will meet every two weeks. More to follow as the details are finalized. There was a discussion concerning how to establish a continuing education program for the monthly meeting and possibly semi-annual testing for BJCP – all depends upon club member interest.

20. Google online for document sharing: some items are action items list, Group Contacts list; official roster of phone numbers, etc. Need to make this the collaboration process along with meet-up.

21. Klute is the new membership coordinator.

22. There was a consensus that we need to start a monthly “happy hour” and this needs to be published on meet-up so all BBs can see where it is and attend if they desire.

Peace out, Dino
