7 August 2013

Executive Meeting

Hosted at Pikes Peak Brewing (Monument)

Attending: Ned Brush, John Haven, Mike Bordick, Mike McGuckin, Michele Gandy, John Landreman, Greg Mizell, Stephen Shelton

Next general meeting (GM):

13 August, 6PM, at Sling Brew’s house, 495 Gold Claim Terrace, Colorado Springs, CO. It’s a potluck – don’t forget to bring something to munch on!  It’s also gadget night, so bring an interesting gadget if you have one.  Stop slacking and Bring Your Homebrew!  If it’s not your best brew, bring it and seek feedback.  Bring a raffle item and help support the club!

Recap of events:

Springs Beer Fest: Michele didn’t go; expectations from Brian Mark were too high and the shifts were too long.

Calhan/El Paso Fair: Expand the categories; Pete to take over for 2014; Ticket/comps issue; recommend sorting be done “in the city”  (drive is too long to Calhan)

Salida: John L needs to coordinate pints list with Michele; need more pop-ups; fest was crowded; our site was further back than in previous years; winners were ??

Craft Lager Fest: Communication still very poor; need a statement of work before “signing-up” for next year; all liquors “pulled back” per Julian

New / recurring:

Results from BJCP exam are in.  A bunch of new judges in town.  Ned will announce during August member meeting.

ALL Colorado Beer Fest: Ned was called by the Gazette to discuss the “small homebrewing competition that is being added. This is “news to us” and John Haven to get info from Randy Dipner.

Brewer Broads – we need their picture – will reach out to them and invite to the September meeting. Recommendation –  hold off until October if the September meeting is at Cat and Joes (#s of people at individuals house can be a problem).

Ned wants more info on the 2013 Rocky Mountain Homebrew Club Competition (entries due NLT 1 November 2013)

Rocky Mountain Homebrew Challenge (no web site)

Denver, CO

Contact: Richard Kolkovich

Phone:   (303) 219-0042

Entry Deadline: 11/01/2013

Grain Buy: Want to try for 3 major buys per year through Paul at 56 Ring. Use the club site to track; 1,000 pound minimum; club will not split bags (you can do this on your own); need to establish rules; may need to roll on a week to week basis until minimum qty is reached.  Need to have Hops and Yeast recommendations to Paul to coincide with events and large purchases

We need to build a generic statement-of-work for working with outside groups on competitions.  Ned will work with Axe & Safe to create on.

John Haven discussed a possible training/experience program for the Club BJCP judges. Many ideas were voiced and he will capture them and send the updated program for review and comment. This training will not be conducted at the monthly GM meetings.

Need to re-look at the Designated drivers program – ACBF was very unhappy with them in the past. ACBF:

Individual Ride Vouchers Now Available!

Individual ride vouchers will allow an individual to use our designated driver service from any location within our service area during normal service hours. Individuals can be at a house, business or non-participating location and qualify for ride service as long as they have a voucher in their possession. Individual vouchers are available in books of 10 for a donation of $100 per book. A discount of 10% is available for the purchase of 5-10 books, 15% discount for 11-15 books, and 20% discount for 16 or more books. Military and public safety officials (fire, police, EMT) receive a 50% discount on all books. Call our office at 719-466-4768 during regular business hours to purchase your ride vouchers today!

Donation to the Black Forest Fire Fighters: Proposal was to donate the $500 charity block of funds to the Fighters. Vote was unanimous to donate.

Next meeting “Gadget Show & Tell”; Ned to e-mail club members to remind them…

Need for an Equipment Custodian: Need to add this position and expand the role; manage, repair, etc.

Competition Software: New version to be released; Consensus was to continue to have hosted by Geoff & his company even though it cost $30 per competition site. The issue was called to a vote and approved for funding.

El Paso fair; A vote was taken and approved the continued support for 2014. Comps need to be hammered out at the beginning along with the requirements for support / to be supported

Elections:  We need a succession plan for all positions. Elections in November; need to announce soon. Need to poll officers and see who is not planning to run again. President position MAY be open L

Bru Bus Dates:  Start planning now.  Ned will work with Michele

Pizza for the Pot luck: The board approved the purchase of 5 pizzas to supplement the food at the potluck. They should be “simple”  pizzas (pepperoni, vegetarian, sausage, etc.)

John Haven needs a front end and database for the PAFB even to manage visitor information. Ned needs a database to manage membership information. Steve said he can make these in under an hour…

The web needs to be “fixed” to reflect Sponsors and Supporters.

Old Business:

Cash Mob at 56 Ring or other location

All GM meetings should have a theme.

Packing and Shipping

Carefully pack your entries in a sturdy box. Line the inside of your carton with a plastic trash bag. Partition and pack each bottle with adequate packaging material. Do not over pack! Write clearly: “Fragile. This Side Up.” on the package. Your package should weigh less than 25 pounds. Please refrain from using “messy” packaging materials such a Styrofoam “peanuts” or pellets; please use packaging material such as bubble wrap.

Place entry forms and payment a sealed zip-top bag. Additionally, enclose your each of your bottle labels in a small zip-top bag before attaching to their respective bottles. This way it makes it possible for the organizer to identify specifically which beer has broken if there is damage during shipment.

Every reasonable effort will be made to contact entrants whose bottles have broken to make arrangements for sending replacement bottles.

It is not against any Bureau of Alcohol, Tobacco and Firearms (ATF) regulations or federal laws to ship your entries via privately owned shipping company for analytical purposes. However, IT IS ILLEGAL TO SHIP ALCOHOLIC BEVERAGES VIA THE U.S. POSTAL SERVICE. Private shipping companies have the right to refuse your shipment if they are informed that the package contains glass and/or alcoholic beverages. Be aware that entries mailed internationally are often required by customs to have proper documentation. These entries might be opened and/or returned to the shipper by customs’ officials at their discretion. It is solely the entrant’s responsibility to follow all applicable laws and regulations.
